Job Title: Receptionist/ Administrative Assistant

Employment Status: Non-exempt

General Description: The position of the Administrative Assistant to the Lovington Chamber of Commerce Executive Director will perform daily office functions for the Lovington Chamber of Commerce.

Reporting Relationship: The Receptionist/ Administrative Assistant shall report directly to the Executive Director.

Duties and Responsibilities:
Assisting each of the Executive Director's with the following: 
  • Greets visitors and directs guests to the appropriate Auxiliary
  • Answers the telephone and provides information/assistance or routes caller to appropriate Auxiliary. 
  • Arrange packets and compose minutes for Board of Directors Meetings.
  • Prepares for distribution event forms, correspondence and informative packets, such as meeting notices, fliers, postcards, etc. 
  • Establishes and upholds current maps, brochures, and visitor information. 
  • Maintains the calendar of the facilities, Troy Harris Room and Banquet Room. 
  • Checks and preserves the Troy Harris Center.
  • Reconciles Troy Harris Center receipts.
  • May be asked to send out or answer emails on occasion.
  • Operates and maintains fax machine.
  • Open sorts and distributes mail.
  • Makes copies, collates, and staples material as requested. 
  • Assistance at some Special Events.
  • Performs additional duties and assignments as requested.
Knowledge, Skills, and Abilities Required:
  • Retain a 35-40 hours per week, with a flexible schedule.
  • Demonstrated ability to maintain confidentiality.
  • Ability to work independently without supervision. 
  • Ability to communicate effectively both orally and written.
  • Skilled in the use of computers and related software.
  • Ability to analyze and solve problems.
  • Ability to create, compose, and edit written materials,
  • Skill in organizing resources and establishing priorities. 
  • Ability to handle and resolve recurring problems.
Compensation: $12.00-$15.00/hour based on experience

Vacation: After six months of employment, will qualify for one week paid vacation per year. 

10 Paid Holidays:
New Year's Day, Dr. King’s Birthday, Memorial Day, Independence Day, Labor Day, Columbus Day, Veteran's Day, Thanksgiving Day, President's Day, and Christmas Day.

Probation Period: A full or part-time employee hired to fill a Lovington Chamber of Commerce position who has not completed the six(6) month probationary period or 1040 hours, whichever is greater, of employment during which time the employee is terminable- at- will and cannot grieve or otherwise take action against his/her termination or probationary period extension. The probationary period may be extended for an additional six(6) month period or another 1040 hours, whichever is greater, upon the determination of the Executive Director and the Board of Directors. 

Evaluations: Two (2) six month evaluation will be conducted, which will be based on your abilities to perform the above duties and responsibilities in a timely manner and any other matters that need to be addressed. Once both of the six month evaluations have been completed than an evaluation will be conducted annually.
